AI-Assisted Notes & Session Transcription
To help your psychologist keep accurate records, a session's audio may be transcribed only if you consent at the start of that session. No video is recorded or kept. You are always asked first, and you can decline — your session goes ahead as normal. Here is exactly how that works:
- →When you consent, the session audio is transcribed and used solely to help generate your clinical notes.
- →We use a Microsoft Azure OpenAI service, hosted in a Microsoft data centre, to draft those notes. Before any text is sent for processing, identifying details are removed.
- →The transcript is deleted from our systems once your notes have been generated. Microsoft may hold the processed text transiently (up to around 30 days) for service-security purposes before it is discarded; it is not used to train AI models.
- →Your clinical notes are retained as your health record, in line with professional record-keeping requirements, and stored encrypted.
Your psychologist always remains responsible for your clinical notes. AI is used to assist with drafting, not to make clinical decisions.
Confidentiality
All information shared during therapy sessions is confidential. We adhere to the Australian Psychological Society Code of Ethics and relevant privacy legislation.
There are limited circumstances where we may be required to disclose information:
- →If there is a serious and imminent risk to your life or health, or that of another person
- →If required by law (e.g., court order, mandatory reporting of child abuse)
- →With your written consent
